The category has quietly changed. What used to be called “waste management software”, billing systems, route Waste Intelligence Software: How to Choose the Right Platform in 2026

The category has quietly changed. What used to be called “waste management software” billing systems, route planners, compliance trackers is now something more fundamental: a data layer that sits across your entire waste operation and tells you what is actually happening.

Waste intelligence software is that layer. It collects, structures and surfaces data from bins, vehicles, scales and sensors in real time. It does not just record what happened yesterday, it helps you understand why, and what to do next.

The global waste management software market was valued at $4.2 billion in 2025 and is projected to reach $9.8 billion by 2034, driven by regulatory pressure, digital transformation across municipalities and private operators, and rapid AI and IoT integration. The growth is not just volume, it reflects a shift in what buyers expect. Operational efficiency is no longer enough. Boards and sustainability officers now demand audit-ready ESG data, automated GRI 306 reporting, and real-time contamination tracking. That is what waste intelligence software delivers.

This guide covers what to look for when evaluating a platform, with a dedicated section for catering and food service companies — a sector where the data opportunity is particularly significant.

What waste intelligence software actually does

At its core, a waste intelligence platform connects physical infrastructure (bins, vehicles, sensors) to a centralised analytics layer. The better platforms do four things well:

Real-time monitoring. Data from collection events, fill levels and contamination detection flows into a live dashboard. You see what is happening now, not what happened last week.

Waste composition analysis. Computer vision identifies material types from smart bin cameras, enabling automated contamination detection and sorting optimisation. This is the capability that separates intelligence platforms from simple tracking tools.

Automated compliance reporting. The platform generates reports aligned with GRI 306, ISO 14001, CSRD and local regulatory requirements without manual data entry.

Operational optimisation. Machine learning algorithms reduce collection vehicle mileage by 15 to 25% and fuel consumption significantly by routing based on actual fill data rather than fixed schedules.

How to choose: 6 criteria that matter

1. Real-time data, not batch uploads

The most common limitation of legacy platforms is the data cadence. If your platform updates once a day or requires manual CSV exports, you are working with historical data and calling it monitoring. A genuine intelligence platform streams data continuously and surfaces alerts as events happen, a contaminated bin, a missed collection, an unusually high fill rate.

2. Computer vision and AI detection

Fill-level sensors tell you how full a bin is. Computer vision tells you what is inside it. For organisations with recycling quality targets or contamination penalties, the difference is significant. Look for platforms that use image recognition to classify waste types and flag non-compliant items automatically, rather than requiring staff to manually log waste categories.

3. ESG reporting out of the box

CSRD compliance is now a legal requirement for large EU companies, and GRI 306 is the dominant standard for waste disclosure globally. Your platform should generate these reports automatically from operational data, not require a separate data export and manual formatting exercise every quarter.

4. Integration with existing systems

A waste intelligence platform that lives in isolation adds administrative overhead. Look for native connectors or open APIs that allow the platform to feed data into your ERP, sustainability reporting tools, or facility management systems.

5. Multi-site visibility

Single-facility tools are not sufficient for organisations managing multiple locations. Your platform should aggregate data across sites, allow benchmarking between facilities, and surface site-level anomalies from a centralised view.

6. Scalability and deployment model

By 2026, the market has seen a strong shift toward cloud-based deployment models that allow for better scalability and remote monitoring. On-premise installations are still available but require significantly more IT overhead. Cloud-native platforms are generally preferable unless you have specific data residency requirements.

Waste intelligence software for catering and food service companies

Catering operations, corporate or school canteens, hospital food services, airline galleys, face a distinct version of the waste problem. The waste is not primarily a logistics issue. It is a production and procurement issue: too much food made, not enough data on what actually gets eaten.

Standard waste management software is built for haulers and municipalities. It tracks collection events and compliance. It does not help a kitchen manager understand which dishes are generating the most plate waste on Tuesdays, or why the Thursday lunch service consistently overproduces by 18%.

Waste intelligence platforms designed for food service work differently. They capture data at the point of production and consumption, not just at the bin, and surface the patterns that drive food waste decisions.

What to look for specifically in food service:

Per-dish and per-category tracking. The platform should attribute waste to specific menu items, meal services and preparation stages — not just aggregate it into a daily kg figure.

Overproduction detection. The system should identify chronic overproduction patterns and suggest production adjustments based on historical consumption data.

Grams per cover. The key KPI for catering sustainability is grams of waste per meal served. Your platform should calculate this automatically and allow benchmarking across sites.

CO₂ and water equivalents. Food waste has a disproportionate environmental footprint. The platform should translate kg of waste into CO₂e, water use and land use automatically, the numbers needed for Scope 3 emissions reporting and GRI 305/306 disclosure.

Integration with HACCP and food safety workflows. Food service companies run complex compliance environments. Waste intelligence should integrate with, not duplicate, existing safety and hygiene systems.

NANDO.Canteen is built specifically for this environment. It tracks every loss in real time, from overproduction to disposal, across three dimensions: overproduction control, process optimisation, and food waste reduction. The platform identifies the specific categories and services generating the most waste, surfaces the chronic overproduction patterns that are invisible to end-of-day counting, and generates ESG reports automatically aligned with GRI 306 and CSRD. Canteens and catering operations using NANDO reduce food waste by up to 40%.

What good looks like: a practical benchmark

When evaluating any waste intelligence platform, run it against this checklist before committing:

Does it provide real-time data or batch updates?

Does it use computer vision to classify waste types, or only sensors for fill levels?

Does it generate GRI 306, CSRD and ISO 14001 reports automatically?

Does it work across multiple sites from a single dashboard?

Can it integrate with your ERP or sustainability reporting stack?

For food service: does it track waste per dish, per meal service and per cover?

Is the deployment cloud-native with appropriate data residency options?

What is the implementation timeline, and what ongoing support does the vendor provide?

No platform will be perfect on every dimension. But any platform that cannot answer clearly on real-time data, automated reporting and multi-site visibility is not a waste intelligence platform, it is a waste tracking spreadsheet with a better interface.

The bottom line

The industrial waste management software landscape is undergoing transformative shifts as AI and machine learning begin to power advanced compliance management modules, automating the interpretation of complex environmental regulations and reducing manual oversight burdens.

Choosing a waste intelligence platform is now a strategic decision, not a procurement exercise. The platform you choose will determine whether your sustainability reporting is credible and auditable, whether your operations teams have the data to act, and whether you can demonstrate measurable progress to regulators, investors and clients.

Your fleet isn’t wasting fuel. It’s wasting something far more valuable: the data it already generates every single day.

Every truck that empties a half-full bin doesn’t just burn diesel. It burns the opportunity to have known, in advance, that the bin wouldn’t need collecting for another three days. The problem isn’t inefficiency in the traditional sense. It’s structural ignorance: systematic, compounding, and entirely avoidable.

Most municipalities still plan collection routes the same way they did 30 years ago. Fixed schedules. Static maps. Gut instinct. But waste isn’t static. It follows patterns. And patterns, once measured, become predictions.

Research shows that variable route optimisation based on real-time fill-level data can deliver up to 44% in cost savings and reduce carbon emissions by nearly 18%, compared to fixed-route systems.

This is what smart waste route optimisation actually looks like in practice and why the technology behind it is reshaping how forward-thinking cities manage their fleets.

Why Fixed-Schedule Collection is Costing Municipalities More Than They Rea

The hidden cost of partial-load trucks

On a fixed schedule, a collection truck doesn’t know whether a bin is 20% full or 95% full. It simply shows up on Tuesday — because Tuesday is when it always shows up. The result is a fleet running at a fraction of its logical capacity, burning full loads of fuel to collect fractional loads of waste.

The direct costs are measurable: fuel consumption per kilometre, driver hours per route, vehicle wear over time. But the indirect costs are often overlooked. Partially-full trucks completing unnecessary stops displace capacity that could be reallocated elsewhere, delay responses to genuinely urgent overflow situations, and generate avoidable emissions that sit on the city’s sustainability ledger.

How static routes ignore waste volume patterns

Waste generation isn’t random. It follows highly predictable rhythms. Commercial districts fill faster on weekdays. Residential zones surge after public holidays. Seasonal patterns, local events, and even weather affect fill rates in measurable ways.

A fixed schedule treats all of this as noise. A data-driven system treats it as signal. The difference is not incremental — it’s structural. Cities that continue to operate on static schedules are, in effect, choosing to remain blind to information their own infrastructure is already producing.

What Is Smart Waste Route Optimization? (And How It Actually Works)

Real-time fill-level monitoring explained

Smart waste optimisation begins with measurement. Traditional systems have no visibility into container fill levels between collections. Modern approaches change this in two ways: by deploying fill-level sensors directly inside individual bins, or — more efficiently — by using AI-powered vision systems to assess fill levels during normal vehicle passes.

The output is the same in both cases: a continuous, updateable map of fill levels across a geographic area. What changes is the cost and scalability of generating that data.

From sensor data to predictive routing: the full pipeline

Raw fill-level data is the input. Optimised routes are the output. Between them sits the intelligence layer.

Machine learning models ingest historical fill-rate data for each container location and identify patterns: how quickly a given bin fills, at what rate, under what conditions. Over time, these models move from reactive (what is in each bin right now) to predictive (what will be in each bin tomorrow, and which stops can safely wait until Thursday).

Route planning algorithms then use these predictions to build collection sequences that minimise total distance driven while ensuring no bin reaches overflow. The result is a dynamic route — rebuilt fresh for each shift — rather than a static schedule reproduced unchanged from last month.

The sentinel vehicle model — one truck, hundreds of bins mapped

One of the most significant innovations in smart waste collection is the sentinel vehicle approach. Rather than installing hardware on every bin — a cost that scales with the size of the container network — a single specially equipped vehicle maps hundreds of containers during its normal collection route.

Using AI-powered computer vision, the sentinel vehicle captures volumetric fill data for every container it passes. No per-bin hardware. No scaling infrastructure costs. One vehicle, one pass, full visibility across the entire area it covers.

The Business Case: Quantified Impact of Dynamic Route Planning

Up to 44% cost reduction — what the research shows

The 44% figure comes from peer-reviewed research on variable route optimisation systems using real-time fill-level data, published in Sustainable Cities and Society. ¹ It represents total cost savings compared to fixed-route baseline systems — not just fuel savings, but the full operational picture: fewer truck deployments, lower labour hours, reduced vehicle maintenance.

The research confirms what operators who have made the switch consistently report: the savings are structural and compounding. Each week of data collection improves model accuracy. Each improvement in model accuracy tightens route efficiency. The system doesn’t plateau — it continues to improve as the historical dataset deepens.

25% fewer kilometres driven: fuel and CO₂ outcomes

Route optimisation has demonstrated consistent reductions of up to 25% in total kilometres driven per collection cycle. ² The direct implications are straightforward: less fuel consumed, lower per-route operating costs, and reduced vehicle wear.

The carbon arithmetic is equally compelling. Waste collection fleets represent a significant share of municipal vehicle emissions. A 25% reduction in kilometres driven translates directly to a measurable reduction in scope 1 emissions — and increasingly, that number matters both for regulatory compliance and for the ESG reporting frameworks that public bodies are now required to maintain.

ESG reporting, automated

Every collection event in a smart waste system generates structured data: which container was visited, how full it was, what volume was collected, how many kilometres were driven. Over time, this constitutes a certified, audit-ready record of the fleet’s environmental footprint — arriving essentially for free as a byproduct of the optimisation system.

How NANDO.Sensor Delivers Volume Prediction Without Per-Bin Hardware

AI-powered computer vision on a single sentinel vehicle

NANDO.Sensor is built on the sentinel vehicle model. A single NANDO-equipped vehicle — fitted with AI-powered computer vision — maps hundreds of containers during its normal collection route. There is no hardware installation on individual bins. There are no per-unit costs scaling with the size of the container network.

The sentinel vehicle is the data infrastructure. It makes a pass, captures fill-level data at scale, and feeds that data into the optimisation engine.

Building a historical record: how the model learns your city’s rhythms

The first pass generates a baseline. The second refines it. By the fourth or fifth week, NANDO has accumulated enough data to begin identifying the fill-rate patterns specific to individual container locations — which bins in the commercial district surge on Mondays, which residential zones see elevated volumes after long weekends, which routes consistently generate underutilised collection stops.

That historical record becomes the foundation of the predictive model. The system learns the waste rhythms of a specific city, not a generic urban profile. This localisation is what drives forecast accuracy — and forecast accuracy is what drives the magnitude of the operational savings.

Predictive scheduling: which bins need emptying tomorrow vs Thursday

The practical output of the NANDO predictive model is a daily schedule recommendation: which containers need collection today, which can wait until mid-week, and how to sequence stops to minimise total kilometres driven.

Collection stops being reactive. It becomes anticipated. Drivers begin their shifts with a route already optimised against predicted fill levels — not a fixed schedule inherited from decisions made years ago.

Implementation: What It Takes to Switch From Fixed to Dynamic Routing

Integration with existing fleet management systems

NANDO.Sensor is designed to work alongside existing fleet infrastructure, not replace it. Route outputs are compatible with standard fleet management platforms. The data layer sits above current operations without requiring wholesale system replacement.

Timeline: from first data pass to optimised routes

Most deployments begin generating usable route optimisation data within the first full collection cycle. Initial recommendations are conservative — the model flags only the clearest inefficiencies while it builds confidence. By the fourth to eighth week, the historical dataset is typically rich enough to support full dynamic routing recommendations.

Common objections (and what the data says)

“We don’t have sensors on our bins.” The sentinel vehicle model doesn’t require them. One equipped vehicle generates data for the entire area it covers.

“Our routes are already efficient.” Fixed routes that feel efficient often carry significant hidden waste. A single data collection cycle typically surfaces multiple consolidation opportunities invisible to manual planners.

“The upfront cost is prohibitive.” The sentinel model converts a large per-bin hardware budget into a single vehicle deployment. The economics are structurally different from traditional sensor-based approaches.

Clients include IVECO Group, Eni Versalis, Philip Morris International, Schneider Electric, and Leonardo, groups with complex, multi-site waste compliance requirements across multiple jurisdictions.

NANDO Tracked the Environmental Impact of Riverberi Festival 2025

We are proud to share the outcomes of an exciting collaboration: NANDO to Monitor Waste at Riverberi Festival 2025 became a concrete reality on June 22nd in Milan. As the official technical partner of the event, NANDO was entrusted with tracking and analyzing waste flows throughout the day, helping turn the Riverberi Festival into a model for measurable sustainability.

Organized by TerraLab ETS, Riverberi Festival is a leading Italian event dedicated to sustainability, environmental awareness, and community engagement. The 2025 edition represented a unique opportunity to demonstrate how digital technologies can contribute to real-world environmental goals.

What “NANDO to Monitor Waste at Riverberi Festival 2025” Meant in Practice

The phrase “NANDO to Monitor Waste at Riverberi Festival 2025” wasn’t just a slogan. It was a real mission. As technical partner, NANDO deployed its AI-powered system to track waste in real time. This gave organizers live insights to guide decisions and assess environmental performance.

The festival took place on Sunday, June 22, at Arena Milano Est in Milan. It brought together environmental experts, institutions, and the local community. The program featured talks, workshops, and a 100% vegan, plastic-free ethical market. All activities aimed to promote sustainable living and raise awareness.

By monitoring and analyzing waste and resource use live, NANDO supported the festival’s goals of transparency and measurable sustainability.

Real-Time Waste Monitoring with NANDO.App

Waste production was tracked live throughout the day using NANDO.App. This showed the app’s potential to support better decisions and boost environmental performance at public events.

The results were significant:

70 kg of waste produced

72% of the total waste sent for recycling

9.5 kg of CO₂ emissions monitored

These numbers reflect a strong commitment to responsible event management and highlight how technology can support sustainability goals in a concrete, data-driven way.

Why This Matters

Monitoring the environmental footprint of public events remains a challenge. But this project shows how real-time waste tracking can make sustainability visible and actionable. With NANDO to Monitor Waste at Riverberi Festival 2025, we’ve shown how data-driven decisions can support Zero-Waste strategies in complex, high-attendance contexts.

A Shared Vision

We thank TerraLab ETS for trusting NANDO as technical partner for such a meaningful event. Together, we’ve proven that monitoring waste at festivals like Riverberi 2025 is not only possible—it’s essential.

Together, we bring data to sustainability!

This international event annually gathers key players from the waste management and circular economy sectors. The goal is to discuss strategies and innovations aimed at building a more sustainable future. In this context, NANDO brought its expertise in applying artificial intelligence to make textile waste flows more traceable, measurable, and circular.

🔍 Why Textile Waste Management Is a European Priority

Textile waste management is one of the most urgent challenges in Europe. On average, each citizen produces 15 kg of textile waste per year, much of which ends up in landfills or incineration plants. NANDO’s participation at Waste Management Europe 2025 aimed to promote innovative solutions to improve sustainable textile waste management, which is essential to reduce environmental impact and support the circular economy.

🤖 How Artificial Intelligence Can Revolutionize Textile Recycling

During the panel “Enabling collaborative partnerships for scaling game-changing end-of-life textile management technologies,” Riccardo Leonardi, CEO and Co-Founder of NANDO, emphasized the importance of collaboration and innovation to build an effective circular system. Thanks to proprietary technology based on AI algorithms and data analysis, NANDO showcased its intelligent textile waste monitoring solutions at Waste Management Europe 2025. These solutions enable:

By participating in Waste Management Europe 2025, NANDO seized the opportunity to strengthen partnerships and gain new perspectives, confirming that textile waste management requires scalable, smart, and shared solutions.

Change starts with those who decide to measure, understand, and improve their processes.

TRACCIA-TO: Paving the way for a circular economy

TRACCIA-TO: Paving the way for a circular economy.

ReLearn, ERICA and Erion join forces in TRACCIA-TO circular economy project.

Traccia-TO is a project born under a European CLIMABOROUGH initiative, which aims to improve the collection of small WEEE and textile waste by monitoring their flows through artificial intelligence. AI technology will optimise collection from street bins and raise awareness of circular practices.

Technology and Citizen Engagement at the Core

At the heart of TRACCIA-TO is the combination of technology and citizen engagement. We are using NANDO to enhance waste collection and raise awareness on the importance of proper waste disposal. In this way, we aim to improve the efficiency of waste management and ensure that discarded items can be reused or recycled, reducing their environmental impact.

Turin Leading the Way

Turin’s pilot program will play a key role in setting the stage for other European cities. By sharing insights, best practices, and data gathered from the project, we hope to create a unified push toward a greener future across Europe. This pilot is just the beginning, as we work to empower communities and redefine how we think about waste.

Together, we’re making cities more sustainable, promoting a circular economy, and helping citizens take an active role in protecting the environment.

With TRACCIA-TO, we are taking significant steps toward a more sustainable future, one city at a time.

NANDO Impact: at Il Salone della CSR e dell’Innovazione Sociale

Il Salone della CSR e dell’Innovazione Sociale is Italy’s leading event dedicated to corporate social responsibility and innovative strategies for sustainable development. Now in its 12th edition in Milan, the Fair brings together companies, institutions, and professionals committed to sustainability and social innovation, providing a hub for sharing best practices, digital tools, and practical solutions.

This year, NANDO participated once again, bringing not just technology but also concrete actions for sustainability. Thanks to NANDO.App, we monitored waste production in real time throughout the event, demonstrating the role of technology in sustainable management of corporate gatherings.

The Challenge: The Complexity of Waste Monitoring at Events

Large-scale events such as fairs, conferences, and workshops present specific challenges in waste management:

Ineffective waste flow monitoring: Without real-time data, it’s difficult to know which areas generate the most waste or which bins need immediate emptying.

Risk of waste and contamination: Improperly separated waste increases landfill volumes and reduces recycling quality.

Significant environmental impact: High-attendance events can produce considerable CO₂ emissions if waste is not efficiently managed.

Limited participant engagement: Without transparent digital tools, it is hard to raise awareness among visitors and stakeholders about sustainable practices.

Effective waste monitoring and management is not only an operational necessity—it is a crucial step to reduce environmental impact and promote sustainable behaviors, especially in high-visibility contexts like corporate fairs and events.

The Solution: NANDO.App Driving Sustainability

During the three days of the 12th Il Salone della CSR e dell’Innovazione Sociale, NANDO.App was used to collect and analyze real-time data on waste production. The app enabled the team to:

Track the total weight of waste generated: 26 kg

Estimate CO₂ emissions produced: 9.5 kg

Visualize data in real time via NANDO.Dashboard, allowing organizers to act immediately and optimize waste collection

Beyond operational data, NANDO.App helped raise awareness among participants, actively engaging exhibitors and visitors in sustainable practices.

Tangible Results: Data, Transparency, and Certification

The use of NANDO.App delivered measurable outcomes:

72% of waste properly sent for recycling, reducing waste and improving the event’s environmental impact

Real-time monitoring and detailed reporting, essential tools for operational optimization and communicating results

Contribution to the ISO 20121 certification of Il Salone della CSR e dell’Innovazione Sociale, demonstrating the importance of digital monitoring in sustainable event management

These results confirm that AI technology can make events more efficient, sustainable, and participatory.

Towards a Greener Future: Sustainability as a Shared Journey

The case of Il Salone della CSR e dell’Innovazione Sociale demonstrates that monitoring waste with smart tools like NANDO.App is not just an operational advantage—it’s an opportunity to create real positive impact on the environment. By engaging participants, exhibitors, and organizers, every event can become a tangible step towards sustainability.

OGR and ReLearn: Sustainability in action

OGR and ReLearn: Sustainability in Action.

A new collaboration has been established with OGR Torino with an ambitious goal: to monitor and improve waste management during events. By using NANDO.App, OGR Torino can reduce the environmental impact of their events, showing that technology and sustainability can go hand in hand.

During Italian Tech Week 2024, NANDO.App was used to monitor waste production in real time. The results were extraordinary and highlight the value of this collaboration.

Concrete Data from Italian Tech Week 2024

Here are the key data from the event:

1,438 kg of waste produced

70% of waste diverted to recycling

655 kg of CO2 emissions tracked

These results demonstrate how the adoption of smart technologies can make a tangible difference in sustainable event management.

A Step Towards Sustainability

The results speak for themselves: thanks to NANDO.App, OGR Torino has significantly improved waste management and reduced their ecological footprint. This is just the beginning of a journey aimed at making every event more sustainable and minimizing waste generation.

NANDO not only allows for waste monitoring and tracking but also promotes more efficient and conscious waste management. Every piece of data collected becomes a useful tool for making informed decisions, continuously improving OGR’s environmental performance. Together, we are moving towards a greener future, one event at a time.

ReLearn partner with CBRE GWS.

We are thrilled to announce our official partnership with CBRE Global Workplace Solutions (GWS). This collaboration marks a significant milestone in our mission to promote sustainability and achieve a Zero-Waste future.

The event dedicated to supplier partner

On Friday, May 25th, we attended the CBRE Global Workplace Solutions event in Milan as a supplier partner.

Joining the CBRE GWS supplier partners’ team is a remarkable achievement and a source of great satisfaction for us. The event provided a valuable opportunity to showcase our collaboration with CBRE GWS in delivering our Zero-Waste service through NANDO to all their customers. This partnership aims to enhance sustainability practices across various workplaces by providing comprehensive waste management solutions.

Our role during the event

During the event, we monitored waste production to analyze and optimize waste management strategies. We will publish the results soon, highlighting the effectiveness of our solutions in reducing waste and promoting sustainable practices. The collaboration with CBRE GWS allows us to extend our Zero-Waste initiatives to a broader audience, making a positive impact on environmental sustainability.

We are grateful to CBRE GWS and Alfredo Arena for giving us the opportunity to present our company and this exciting collaboration. We shared our vision for a sustainable future and demonstrated how our innovative solutions can transform waste management practices. The support and encouragement from CBRE GWS, particularly from Laura Magnani, Danilo Casile, and Giuseppe Mattia Caronia, have been instrumental in making this collaboration a success.

Thank you to everyone involved in making this partnership possible. We are excited about the journey ahead and the positive changes we can achieve together. This collaboration represents a significant step towards creating a more sustainable world, and we look forward to working closely with CBRE GWS to drive meaningful change.

Together, we can make an impact on the environment.

Stay tuned for updates and follow our journey towards a sustainable future!
